Email remains the most used communication channel for businesses and millions of people worldwide. Gmail, from Google, is the leading service; using it more efficiently includes some rules that improve results.

According to communication researchers, particularly in the digital age, there are common mistakes people continue to make when sending emails.

First, the use of inappropriate language or writing style. They believe that a user cannot address a client, employer, store owner, or government office in the same way they would a family member. In these formal situations, a polite greeting is appropriate, followed by a short paragraph expressing the main message, a closing, and a signature. Avoid using everyday words or emojis.

Using email for urgent matters is not recommended. This is the second most common mistake and can be avoided by making a call, video call, or sending a message via WhatsApp, as more immediate alternatives. There is also the option of meeting the person in person.

The third mistake is using email with inefficient structuring, including unnecessary paragraphs and leaving the most important or essential information for the end. In these cases, the email may be partially read without the recipient understanding the sender’s message. Furthermore, reading excessively long texts is tedious and time-consuming these days.

The fourth common mistake in email writing is the use of attachments. In this regard, and to avoid being considered spam or a threat, it’s essential to specify in the email body what is being attached and its corresponding format: .pdf, .docx, .jpg, .mov, .zip. And, of course, remember to attach the file.

The fifth mistake, significant for its lack of courtesy, is sending a new email too soon. Considering that messages sent via Gmail, WhatsApp, or other similar platforms are not opened instantly, it’s best to wait 24 to 72 hours between sending one email and the next. Always consider whether the matter is urgent, as in such cases, a call or personal visit to the recipient is more efficient.

These errors are the most common in daily email sending. They make the sender appear unprofessional, anxious, careless, or even disrespectful.

The alarming increase in email account takeovers led Google to issue an alert, given that cybercriminals are now not only stealing passwords but also capturing authentication codes and even session cookies.

With this advancement in their methodology, attackers can take control of an account without having to overcome additional security measures.

According to Chrome Sync, “browser syncing is incredibly convenient… and dangerously pervasive. When you turn on syncing in Chrome, Google stores a massive amount of your private data in the cloud: browsing history, open tabs, passwords, payment methods, addresses, phone numbers, information stored in Google Pay, etc.” In other words, the user’s digital life.

If you add to this the fact that Chrome functions as a universal password manager, if a hacker gains access to your account, it “opens the door to banking services, social networks, online stores, work tools, and any platform whose data is stored in the browser.”

A similar situation occurs with cookie theft, a technique that is gaining ground and allows attackers to “bypass login mechanisms and behave as if they were you, without the system detecting anything unusual.”

The good news is that users can protect themselves. One of the main safeguards is to disable Chrome Sync or use the “Custom sync” option to exclude particularly sensitive data such as passwords and payment information.

In addition, Google reminds users that “it is possible to encrypt all synced information using a passphrase. While this option does disable some features—such as Smart Lock—it significantly increases security. It’s a small sacrifice in exchange for preventing an intrusion from compromising your entire digital identity.”

For its part, Google is implementing new tools to mitigate attacks, even after data has been stolen, such as passkeys, Device Bound Session Credentials (currently in beta), and the new Shared Signals Framework, which will allow Google to react automatically when partner platforms detect suspicious activity.

Gmail, Google’s email service, announced the inclusion of emojis in the tool, so users can add emotion to messages arriving in their inbox.

Regarding the new feature, which will be available for apps, iOS and Android systems, and web clients starting May 13, Google stated: “We’ll be able to use these emojis when replying to the sender, also to confirm receipt of the email, or simply to express yourself.”

This way, Gmail users will be able to show their gratitude to the sender, send a greeting, or indicate acceptance of an invitation using an emoji as an “expressive and personalized way to respond to emails.”

To add emoji reactions to emails, simply click the “Add emoji reactions” button located at the top of the message, next to the “Reply” button. Additionally, “you can see more emojis by tapping the + button, and all these reactions will appear at the end of the email.”

However, the technology company has clarified that “the feature will be disabled by default in Gmail, and they clarify that these emoji reactions cannot be sent to emails received through a Google Group or to those that have a Google Group in the recipient list.”

In addition to being available for iOS, Android, and web clients, it will also be available for Google Workspace customers, as well as users with personal Google accounts.

Sending emails from Google’s Gmail now provides enhanced security with encryption to any address.

In conjunction with its 21st anniversary celebration, Google’s email service is implementing security measures against message hacking based on artificial intelligence.

According to the company’s most recent data, “the email platform has 1.8 billion customers worldwide.”

The new security feature, active in beta this week for business users, will allow “sending end-to-end encrypted (E2EE) emails to any email address, even if the recipient doesn’t use Gmail.” Additionally, “there’s no need to configure certificates or install additional applications. Everything works with just a few clicks.”

The feature, already in beta for business accounts, is based on client-side encryption (CSE), which means “the message is encrypted on the user’s device before sending and can only be read by the authorized recipient. Neither Google nor third parties can access the content.”

Google has implemented a hybrid model: if the recipient has a Gmail account, the encrypted message is automatically decrypted upon opening it; if they don’t use this email service, “they will receive an invitation to view it in a restricted version of Gmail, without needing to install anything.”

Google announced a new step to provide protection to Gmail users. The technology company announced that SMS authentication will soon be done by QR codes.

Google’s goal is to advance its cybersecurity policy to protect users from attacks through phishing and SIM swapping. “Currently, SMS are vulnerable to attacks and fraud, which has led the company to adopt more secure methods such as Passkeys and passwordless authentication.”

Regarding the QR codes that will replace SMS, the company said that users will be able to scan them “instead of receiving a six-digit code by text message. This change is part of a global trend to strengthen security in online accounts through methods such as application authenticators and physical security keys.”

Another objective of this change is, according to the company, “to reduce the impact of the rampant and global abuse of SMS”, since through this functionality users can fall into a “phishing scam and the dependence on the telephone service provider to support protection against cyber threats”.
